How Propel Works with Follow Up Boss
Propel is designed to sit on top of your existing CRM workflow. Instead of replacing Follow Up Boss, Propel provides the automation-first layer that handles the "grunt work" of lead engagement.
1. In-Inbox Sync
Both Propel and Follow Up Boss connect directly to your email (Gmail or Microsoft 365). When Propel’s AI responds to a lead or follows up on a campaign, the email is sent through your actual mailbox. Because Follow Up Boss monitors that same mailbox, every AI-driven conversation is automatically logged on the prospect’s profile in FUB.
2. Speed-to-Lead Automation
While you might use Follow Up Boss to track your hot deals, you can use Propel to handle the initial "Speed-to-Lead" for new inquiries. Propel responds in seconds to Zillow, Realtor.com, and other portal leads, qualifies the prospect, and even books showings before you’ve even had a chance to open your CRM.
3. Database Re-Engagement (Campaigns)
Use Propel's Goal-Based Campaigns to warm up your old Follow Up Boss leads. Instead of sending a generic mass blast, Propel sends personalized, AI-driven outreach to your "Cold" or "Nurture" stages in FUB. When a lead raises their hand, the activity is visible inside FUB, and you can jump in to close.

Setting Up Follow Up Boss with Propel
Since Propel integrates via your shared email provider, setup takes less than 5 minutes.
Step 1: Connect Your Email Account
- In Propel, go to Settings > Integrations.
- Connect the same Gmail or Microsoft 365 account that you use with Follow Up Boss.
- Verify that Propel has permission to read and send emails.
Step 2: Configure Lead Forwarding (Optional)
If you want Propel to handle the initial response for new leads:
- Ensure your lead sources (Zillow, Realtor.com, etc.) are sending notifications to the inbox connected to Propel.
- Propel will automatically detect the new lead, respond, and FUB will log that response via email sync.
Step 3: Launch a Re-Engagement Campaign
- Export a list of "Cold" leads from Follow Up Boss.
- Import them into a Propel Campaign.
- Set your goal (e.g., "Schedule a Consultation").
- Propel will handle the outreach, and you'll see the replies in both Propel and the FUB activity history.
Common Scenarios
Scenario 1: The "Speed-to-Lead" Buffer
A lead inquires on Zillow. Propel responds in 15 seconds, answering a question about the property. Follow Up Boss receives the lead and logs Propel's response in the activity timeline. The agent sees a qualified prospect who has already had their first question answered.
Scenario 2: Warming Up Your "Database of Death"
You have 1,000 leads in FUB marked as "Cold." You list them in a Propel campaign. Propel starts 1-on-1 conversations with each of them. When a lead responds, "Yes, I'm actually looking to buy in the spring," that response shows up in your email and FUB, alerting you that it's time to take over.
Troubleshooting
Emails aren't appearing in Follow Up Boss
- Check Sync Status: Ensure your email account is correctly synced in Follow Up Boss under Settings > My Devices.
- Correct Inbox: Verify that you are using the exact same email address in both Propel and Follow Up Boss.
- Permissions: Ensure Propel has permission to "Send" as you, otherwise the emails won't originate from your inbox and FUB won't see them.
